Core Functions / Responsibilities:

  • Maintain a proper filing system.
  • Ensure a proper filing system of logistics document.
  • Support logistics documentation in case of audit.
  • Closely work with Maintenance Assistant to monitoring the stock/ store and build up good controlling system.
  • Supervising the drivers.
  • Assisting in procurements, obtaining quotes, recording receipts of goods, communication with suppliers.
  • Ensure physical facility for storage of materials, tools & equipment’s in the stock/ store, office and Guest House.
  • Managing and preparing meetings.
  • Provide needed document-based information for further consideration to the head of office.
  • Collecting reports of other departments and preparing monthly report of office.
  • preparation for presentation, reporting, letters, and other needed documents.
  • Follow up all reports needed for being submitted by sectors and other departments within head quarter.
  • Ensures all workers have protective gear/equipment.
  • Coordinate with other departments in supporting activity requirements.
  • Any other tasks/responsibilities requested by line manager.

Education:

  • Bachelor’s Degree in administration, business management, or logistics.

REQUIREMENTS:

  • Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • At least 1 year of experience directly related to the duties and responsibilities specified.
  • Excellent diagnostic and problem-solving skills.
  • Procurement experience.
  • Excellent written and verbal communication skills.
  • Outstanding organizational and time-management skills.
  • Strong organizational skills with the ability to multi-task.
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
